FAQ
What happens if a record doesn't show up and I can't prove it?
Your procedure gets stuck with no explanation: the agency won't accept "you couldn't find it." The certificate is the official proof that the record doesn't exist.
When do I need a certificate of no record?
When a record doesn't appear in the books and you have to prove that for another procedure, such as a late registration.
How much does it cost?
Professional fees from $35 cover the search and the handling; official registry fees, if any, are separate.
Is it valid abroad?
It has to be apostilled; we do that separately.
What do I need?
The person's approximate details, date and place; with that, we run the search.
About this procedure
Sometimes you need to prove that a record doesn't exist, and odd as it sounds, it's a document people ask for a lot. It's requested mainly as a step before a late birth registration: before registering someone who was never registered, the Registro Civil usually requires proof that there really is no earlier record for that person, to avoid duplicates. It also comes up when recording records from abroad, in identity procedures and in court cases. Getting it means the office has to search its books and certify that it didn't find the entry, and that sometimes takes some back-and-forth. We handle it for you: we request the formal search, get the certificate of no record and, if it's the step before a late registration or recording a foreign record, we take you straight into that procedure, which we also handle.
Legal framework and important notes
Ley Orgánica de Registro Civil (Organic Civil Registry Law) · Código Civil (Civil Code)
- The certificate is requested at the Registro Civil office where the record should be; if it's in another state, we still handle it.
- To use it abroad, it has to be apostilled, as a separate service.
- We can handle this procedure 100% for you, with no need for you to travel.
We guarantee our service, not what the agency decides. If something depends on them, we tell you clearly and in time.
