Stamping and opening of condominium books
It's the notarial act by which the notary opens and stamps the mandatory books of the owners' association, mainly the meeting minutes book and the accounting book, giving them legal validity. Without those books properly enabled, the board's decisions can be left up in the air.

FAQ
What happens if the condominium keeps its minutes in an unstamped book?
Any neighbor can challenge those minutes and the board's decisions are left up in the air: an unstamped book can be altered and proves nothing.
Which books need to be stamped?
At a minimum, the meeting minutes book and the administration or accounts book.
How much does it cost?
The professional fee, from $55, covers handling the stamping and opening; the official notary fee depends on the number of books and pages, and we give you the exact amount up front. The condominium provides the physical books.
Do you sell the books?
No; the condominium provides them, but we tell you which ones to buy.
When is it done?
When the condominium is set up, when the board changes or when a book fills up.
About this procedure
Every owners' association is required to keep its books: the meeting minutes book, which records what the condominium decides, and the administration or accounting book, where the accounts are kept. For those books to have legal value, the notary must open and stamp them: the notary records the opening, numbers the pages and applies the seal, so that pages can't be swapped or their order altered later. That's what backs up the minutes of a condominium meeting or the management's financial report. We check that the books are in the correct format, schedule the appointment, present them to the notary for opening and stamping, and return them to you ready to start using. It's a typical procedure when a condominium is set up, when a new board takes over, or when a book runs out and the next one has to be opened.
Legal framework and important notes
Ley de Registros y Notarías (Registries and Notaries Law) · Código Civil (Civil Code) · Ley de Propiedad Horizontal (Horizontal Property Law)
- Have the books bought and page-numbered before the appointment, because the notary stamps books that are already prepared
- And don't leave important board decisions without recording them in a stamped book. Minutes in a book that hasn't been enabled lose weight if someone challenges them
- If you're unsure which books you need, write to us first
We guarantee our service, not what the agency decides. If something depends on them, we tell you clearly and in time.
